Job Overview:
We are seeking an organized and detail-driven Project Manager to oversee the operations and execution of communication projects within our department. This individual will serve as the key point of coordination between the client-facing communication team and the production team executing the work (video, photography, graphic design, etc.). While not directly interfacing with clients, the Project Manager will manage timelines, schedules, resources, and workflows to ensure projects are completed on time, within budget, and to the highest quality standards. This role requires an individual with strong organizational skills and the ability to manage multiple projects and teams effectively.
Key Responsibilities:
- Project Coordination & Scheduling:
- Develop, manage, and track project timelines, ensuring that production teams (video, photo, graphic design, etc.) have a clear schedule to follow.
- Work closely with the client-facing communications team to understand project scopes, deadlines, and client expectations, then translate this information into actionable timelines for the production team.
- Coordinate and monitor the daily operations of the communications team, ensuring resources and personnel are aligned with project requirements and deadlines.
- Adjust schedules as needed to accommodate project changes, client requests, or unexpected delays, ensuring leadership is informed.
- Workflow Management & Task Allocation:
- Organize and prioritize tasks for creative teams, ensuring clear communication of project goals, deadlines, and deliverables.
- Collaborate with team leads for video production, graphic design, photography, and other departments to allocate resources effectively, balancing workloads across the team.
- Track the progress of each project and ensure that deliverables are on schedule, helping to resolve any bottlenecks or challenges that arise in the workflow.
- Operational Efficiency & Process Improvement:
- Monitor and optimize workflows to ensure the production team works efficiently and that all steps of the process (concepting, production, editing, revisions, etc.) are completed in a timely manner.
- Establish and enforce production processes and standards to ensure consistency across all projects.
- Identify areas where operational efficiency can be improved, proposing and implementing solutions to streamline processes and increase productivity.
- Resource & Equipment Management:
- Work closely with the team to ensure that all necessary production resources (equipment, software, etc.) are available and in good working order.
- Coordinate the use of production tools and equipment across multiple projects, ensuring no conflicts in resource allocation.
- Track inventory of creative tools, software licenses, and hardware, and notify management when replacements or upgrades are necessary.
- Project Monitoring & Reporting:
- Regularly monitor the status of ongoing projects, providing internal progress updates to the Director of Communications and other relevant leadership.
- Ensure that all deliverables meet the required quality standards and deadlines, and report any potential delays or issues to the appropriate team members.
- Document the project lifecycle, maintaining accurate records of project timelines, changes, and outcomes for future reference and analysis.
- Problem Solving & Troubleshooting:
- Act as the first point of contact for the operational team when challenges or delays arise. Quickly troubleshoot and resolve issues to keep projects on track.
- If issues arise that affect project scope, timeline, or quality, proactively seek solutions, reallocate resources, or make schedule adjustments in consultation with the appropriate team leads.
- Cross-Department Collaboration:
- Serve as a liaison between the client-facing communications team and the internal production team, ensuring that expectations are clearly understood and that projects are executed according to plan.
- Maintain regular communication with other departments, including marketing, creative, and operations, to ensure alignment on project priorities and goals.
- Coordinate with other teams within the organization to ensure that production timelines fit within the overall organizational calendar.
- Final Deliverables & Quality Assurance:
- Oversee the final stages of the project to ensure all deliverables are completed on time and meet the required standards.
- Ensure that the final outputs are prepared for delivery to clients or internal stakeholders, including necessary formats and documentation.
- Confirm that all internal and external feedback has been incorporated into the final deliverables before they are submitted or launched.
Qualifications:
- Required Skills and Experience:
- Proven experience (3+ years) in project management, preferably in a creative or communications environment.
- Strong understanding of creative workflows and familiarity with video production, photography, graphic design, and digital content creation.
- Expertise in project management software such as Asana, Click Up, Basecamp, or similar platforms to manage timelines, tasks, and resources.
- Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously.
- Excellent communication and collaboration skills, with the ability to coordinate across multiple teams and departments.
- Ability to quickly identify project roadblocks and implement solutions to ensure project deadlines are met.
- Experience with resource management, including the allocation of personnel, equipment, and other project assets.
- Desirable Skills:
- Familiarity with creative software such as Adobe Creative Suite, Final Cut Pro, DaVinci Resolve, or similar tools used in video, photo, and graphic design production.
- Understanding of digital asset management systems and best practices for file organization and archival.
- Experience in working within an agency or corporate communications department is a plus.
- Knowledge of budgeting or managing project costs is a bonus, though not required.
